1. Purpose and Scope
This Confidentiality Policy protects the privacy and confidentiality of discussions, information, and materials shared during Zoom meetings organized by the International Association of Mediators and Poly-Experts (IAMPE). To ensure lawful conduct and confidentiality, this policy adheres to Georgian law, international law, and GDPR. It applies to all IAMPE members, partners, guests, and participants in IAMPE-hosted Zoom meetings.
2. Meeting Access and Participant Responsibility
Authorized Access Only: Meeting access is restricted to individuals invited and registered for the specific IAMPE meeting. Unauthorized sharing of meeting links, passwords, or related information is strictly prohibited under both Georgian and international privacy standards.
Confidentiality Obligation: By participating, attendees agree to maintain the confidentiality of all information shared during the meeting, in accordance with IAMPE policies, Georgian law, GDPR, and international data protection standards. This includes all spoken, visual, written, or recorded content.
3. Handling of Confidential Information
Restricted Sharing: Information, discussions, and documents shared during IAMPE meetings are intended solely for meeting participants and should not be disclosed to third parties without explicit permission from IAMPE, in accordance with applicable Georgian and international confidentiality laws.
Recording and Screenshots: Unauthorized recording, screenshots, or copying of meeting content is prohibited unless specifically authorized by IAMPE’s meeting organizer, to comply with Georgian and GDPR provisions.
Use of Information: Information obtained in IAMPE Zoom meetings should be used solely for the intended purpose and must align with IAMPE’s objectives and applicable Georgian and international regulations. Any misuse for personal or commercial purposes outside of IAMPE’s mandate is strictly prohibited.
4. Personal Data Protection
IAMPE complies with GDPR, Georgian, and international data protection laws to ensure participants' personal data is protected:
Data Collection: Personal data, such as name, email address, and other necessary identifiers, may be collected to facilitate meeting access and participation.
Data Processing: All personal data is processed solely for managing participation in IAMPE meetings and will not be shared or disclosed to unauthorized third parties, in accordance with Georgian and international laws.
Right to Access and Erasure: Participants have the right to request access to or deletion of their personal data held by IAMPE, in accordance with GDPR, Georgian, and international privacy laws.
5. Recording and Distribution of Meeting Content
Consent Requirement: If a meeting needs to be recorded for future reference or distribution to participants, IAMPE will obtain explicit consent from all attendees prior to recording, as required by Georgian and GDPR requirements.
Secure Storage: Recorded content will be securely stored by IAMPE and accessible only to authorized personnel.
Limited Distribution: Meeting recordings, if shared, will be distributed only to authorized participants and will not be made publicly available without express consent, in accordance with GDPR and Georgian privacy laws.
6. Consequences of Policy Violation
Violations of this Confidentiality Policy may result in disciplinary actions, including removal from IAMPE meetings, revocation of membership, and potential legal consequences under Georgian and international law.
